The Department of Radiology has an outstanding opportunity for a full-time Assistant to the Director and Site Administrator Fred Hutch Cancer Center (FHCC). The Site Administrator is responsible for the administrative functions and operational affairs of the SOM Department of Radiology at FHCC. Assistant to the Directors & Site Administrator is responsible for the overall operations including support services, facilities, purchasing and inventory, compliance, and new faculty and Operations staff site orientation. This role serves as the medical centers primary contact concerning its administrative functions. The role will work to bring alignment between the Department of Radiology and Fred Hutch Leadership objectives. The position directly reports to and partners with the Assistant Director of Operations for SOM Department of Radiology in policy development and implementation, operational management, and planning. The role provides administrative support to the Department of Radiology leadership based at Fred Hutch, including the Medical Director of Medical Imaging, and the Director of Breast Imaging. The Administrator is responsible for advising and facilitating mandated and/or discretionary faculty activities and requirements in alignment with the Department of Radiologys policies and procedures. RESPONSIBILITIES: Essential Duties & Responsibilities (Other duties may be assigned to meet business needs.) Assistant to the Director Medical Directors (70%) The Administrator also serves as the main liaison for FHCC Radiology Medical Director and Breast Imaging Director, within the University and Fred Hutchinson Cancer Center as well as nationally with other institutions and individuals. This includes interacting with contacts in other programs to develop and execute open and easy communication on behalf of the Directors and their missions. The Assistant is responsible to the Directors, managing and coordinating activities as noted: Provides input regarding workload planning and priorities in the implementation and execution of planned programs for the Directors. This includes establishing and maintaining standards for procedures. Reviews and screens incoming mail and phone calls. Prioritizes and advises the Directors on priorities. Sets up appointments, maintains and manages an electronic calendar and task list for the Directors. Ensures deadlines are met. Tracks all upcoming meetings and reviews accompanying paperwork to ensure all official obligations are met. Manages travel-related transactions and expense accounts for the Director. Independently sets up and maintains confidential files. May delegate administrative tasks to staff who co-maintain the Directors computerized calendar, travel schedule and travel arrangements. Acts as a liaison between the Directors and faculty regarding departmental policies, schedules, deadlines, etc. Acts as Directors liaison with the Deans Office, School of Medicine, UWMC Hospital Administration, Clinical Vice Chairs in several departments and other senior administrators. Assists the Directors in such duties as may be assigned or delegated including staffing analyses and recommendations regarding policies and procedures; communicates and implements policies and procedures ensuring that all levels within the organization are informed on relevant issues. Advises the Directors in their activities at UWMC (including all sites of practice), Fred Hutchinson Cancer Center, and HMC and facilitates and implements improvements in line with overall strategic objectives. This includes managing logistics and preparative meetings, securing documents and information, and developing agendas. Plans and arranges for discussions or research presentations as needed; researches projects; and tracks progress of Committee activities. Develops special projects when needed or as assigned. Maintains appropriate administrative procedures. Participates as assigned in projects to enhance programs under the direction of the Director. Composes correspondence. Manages the preparation of reports and required submissions. This includes editing and composing drafts of text (administrative and non-scientific). Assists in the preparation of lectures, lecture notes and visual aids for the Directors. Prepares and submits documents for approval; liaises with UW and SCCA offices for proper documentation and procedures; updates information and maintains files of approved clinical protocols. Provides onboarding for resident/fellow trainees and faculty that rotate/service through Fred Hutchinson Cancer Center in all sub-specialties. Fred Hutch Site Administrator (30%) Provide leadership, direction, and management to the Fred Hutch-based faculty, trainees, research and administrative teams in the Department of Radiology, and includes the following duties and responsibilities: Onboarding and Orientation The Site Administrator will be the primary contact for all new faculty, staff, and trainees within the Department of Radiology at Fred Hutch, and will provide concierge onboarding and orientation experience for new employees, including but not limited to: Campus tour Introduction meetings to Fred Hutch Radiology Leadership Introductions to clinical and administrative staff Review organizational charts for Fred Hutch Leadership Office space and set up, including phone and computer Badge, parking, and network access The Site Administrator will work closely with Fred Hutch Medical Staff Office in the faculty recruitment and credentialing process in collaboration with the Department of Radiology Human Resources. Space and Facilities Administration Coordinate with Fred Hutch space planning team to communicate the departments needs in office space, remodeling projects including development of design, implementation, relocation, and coordination of the project. Design and develop a functional space plan for the department and coordinate the support services with Fred Hutch as necessary to ensure the operation of the administrative space. Work collaboratively with faculty, staff, the Department of Radiology, and Fred Hutch to develop and manage facility updates to the administrative space, including but not limited to, furniture, computer and office equipment, flooring, and paint when appropriate. Establish and oversee a robust Radiology Disaster Plan at Fred Hutch within the administrative space and keep updated emergency supplies and first aid kits in established areas. Website Updates and Maintenance Responsible for maintaining Fred Hutch-based Radiology organizational charts and key personnel for the various websites, including collaborative updates to Fred Hutch intranet and Department of Radiology. Maintain and update site-specific policies and procedures on intranet site (MyRad). Oversee photography services for updated site and section photos. Other Ensure appropriate record confidentiality is maintained in compliance with university policy, state, and federal regulations. Provide insight, suggestions, and assistance for personnel management in collaboration with the Assistant Director of Operations and Dept. of Radiology. This may include recruiting efforts, personnel delegation management, etc. Provide cross coverage of the Breast Imaging Program Coordinator Special projects as determined. Provide leadership and support for other Department programs as determined appropriate MINIMUM REQUIREMENTS: Bachelors Degree in Health Care Administration or a related field. Minimum of 2 years experience in healthcare and/or administrative environment and demonstrated success in the management of complex programs, activities, or units. Experience can substitute for education. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. Desired Qualifications Experience with Workday, ARIBA, ASTRA, Interfolio and other systems in an academic environment.
